full time Administrative Support-SaskTel International

POSITION OVERVIEW

In this role you will be responsible for the effective, efficient, and confidential support required for the SI management team to operate successful in a highly competitive world telecommunications market. Responsible for confidential,administrative support of the President, CFO and Vice Presidents. Interfaces with representatives from all levels of SaskTel Management, national and international government agencies and customers on a global basis.

KEY RESPONSIBILITIES

1. Researches, coordinates, and prepares professional documentation including presentations, proposals, newsletters, graphic materials and correspondence in a timely, confidential, and creative manner.
2. Responsible for maintaining a confidential filing system of SaskTel International's Human Resources including developing and maintaining related databases, preparing correspondence, and maintaining relationships with internal and external contacts. Provides research services pertaining to human resource forecasting and availability.
3. Responsible to administer the office in a professional manner,establishing and maintaining good rapport with all contacts. Effectively handling or directing calls, inquiries and correspondence to the appropriate parties. Handles all incoming human resource requests and ensures appropriate information and documentation is distributed. .
4. Promptly responds to customer requests. Coordinates all in and out-of-province travel and accommodations for all SaskTel International personnel and employees on loan to SaskTel International. Frequent contact at an international level with Consulates and foreign embassies coordinating visa applications for all offshore and national project travel.
5. Responsible for researching and dealing with various postage, printing and stationary companies ensuring best price scenario when ordering stationary and postal services. Maintains the tracking of the Printing and Stationary budget, Departmental Other budget and ensuring appropriate distribution of funds for the Administration Manager. .
6. Responsible for proper distribution of all SaskTel International coding strips including photocopying, filing and delivery to accounts payable. Responsible for preparing all SaskTel International payroll advice forms (SN80's), and 9M's (RCS's).
7. Performs other related administrative duties including accounts payable, time sheets, courier and customer documents, tracking sensitive and confidential office records and files, reception and other miscellaneous duties. .
8. Coordinates office moves and assists with ordering of furniture and maintaining reception area. .
9. Coordinating SaskTel International's critical computer systems and providing software support. .
10. Creates and maintains databases as required by the SaskTel International management team. .
11. Reports to the office manager and serves as backup for the Office Manager. .

POSITION REQUIREMENTS

1. Extensive operating experience and knowledge of personal computers and related software applications with a general understanding of PC environments.
2. Strong administrative and organizational skills with a minimum of two years in an administrative role or equivalent educational background.
3. Experience in preparation of proposals, presentations of professional documentation, newsletters and website searches.
4. Good overall understanding of SaskTel's corporate structure.
5. verbal and written communication skills.
6. Ability to work in a stressed filled environment and perform well within time constraints .
7. Strong interpersonal skills, positive attitude, professional appearance and the ability to perform with tact and diplomacy.
8. Strong awareness of foreign customer and cultures and general geography.
9. Proficient Microsoft word and typing ability (40-60 wpm).
